Qualifying Life Event

A qualifying life event is an event defined by the Internal Revenue Code in Section 125 that allows you to make changes to your benefit elections outside of the annual open enrollment.

Qualifying Life Event changes include some of the following examples:

Change in your legal marital status

Birth / Adoption or Placement for Adoption

Change in employment status for you, your spouse and/or dependent child(ren)

R

Medical support order

R

Dependent eligibility status changes

R

Medicare, Medicaid and CHIP

Timing is Everything

Notify Benefits within 30 calendar days of the qualifying event date. There are no exceptions to this rule.

Changes not made within the required time frame will need to wait until the next open enrollment period.

FAQs

Q: Are the 30*, 40* and 60* calendar day submission deadlines flexible?
A: No. This could jeopardize the District’s tax advantage status. The only flexibility is if day 30 falls on a day that the District is closed, day 30 is considered the next business day. *Calendar days include weekends and holidays. Eligible individuals who have lost or gained coverage through Medicaid or the Texas Children’s Health Insurance Program (CHIP) must provide supporting documentation and complete enrollment change forms within sixty (60) calendar days of the date coverage begins or ends.

Q: Am I required to provide relationship verification to enroll dependent(s)?

A: Yes. Supporting documentation is required if enrolling dependents in any Round Rock ISD benefit plan. Documentation not received within the required deadline will result in coverage being denied for dependents. Important information and instructions are provided in the Qualifying Life Event Documents link above.

Q: When will I see the changes effective in my paycheck?
A: Premiums are deducted from your paycheck once a month for the current month’s coverage, e.g. February premiums pay for February coverage. Double premium payments may occur and are subject to benefit(s) effective date. Premiums are not pro-rated. For example, your child is born on Nov. 5; premiums for November and December are deducted from your December paycheck. Refunds can only be made if required documentation is received prior to the effective date of the new coverage.

Q: When will my new coverage be effective?
A: Once your paperwork is submitted and finalized, the effective date of your new benefit is subject to the qualifying event date. For example the effective date for birth or adoption is the date of the event. Talk to your benefits specialist for specifics relating to your qualifying life event.

Q: Where can I fill out paper forms or speak with my benefits specialist?
A: If you need paper forms or would like to meet with your benefits specialist in person, please visit Human Resources Services/Benefits during business hours located at 7700 Cornerwood Dr, Austin, TX 78717. Please let your supervisor know that you are visiting the human resource offices.
