Employees are encouraged to review and update the following information in Employee Self Service (ESS) between
December 2 and 6, 2024:
- Privacy setting
- Veteran status
- Employee address, phone, and emergency contacts
- Emergency contacts
- W-2 delivery method
To review and update your information in ESS, follow these instructions.
- Log in to Employee Self Service (ESS).
- Click on Personal Information on the menu to view the available tabs (General, Demographics, Contact and Tax Delivery Options).
- Click on the Demographics tab to review your information and make updates.
- If necessary, click on the “Edit” button to update as applicable.
1. Privacy setting
Confirm or select your preferred setting.
- Release Information, or
- Do Not Release Information
2. Veteran status
If you have not previously provided a response, this field is defaulted to “No.” Select your veteran status.
- Yes,
- No, or
- Prefer not to answer
- Click “Save” to save your changes or “Cancel” to make no changes.
3. Review your emergency contact information
Select the Contact tab (next to the Demographics tab).
- Edit your address or click “Add New,” if applicable.
- Edit your emergency contacts or click “Add New”, if applicable.
- Edit your phone number or click “Add New,” if applicable. Phone type is a required field.
- Click “Save” to save each of your changes or “Cancel” to make no changes.
4. Review your current Internal Revenue Service (IRS) W-2 delivery method
- Click on the Tax Delivery Option tab (next to the Contact tab).
- W-2 delivery method options are mail or self service only.
- Select “Self-service only” to opt-in for electronic W-2 forms.
- There is no “Save” option after you make the selection. Once a selection is made, it is auto-saved.
- Log out and exit ESS.
Important Information Regarding Internal Revenue Service (IRS)
W-4 Form:
- Determine if the W-4 Form needs updating for any federal income tax changes for the upcoming 2024 year. Employees may review additional information about the W-4 Form on the IRS web site.
- Internal Revenue Service (IRS) W-4 Form for 2024: Employees should review annually to determine if the W-4 Form needs to be updated for any federal income tax changes for the upcoming 2024 year.
- Employees are encouraged to review their W-4 filing status in ESS and submit a W-4 update in ESS, if necessary.
- Employees who claim exempt status are required to submit a new W-4 Form by February 15, 2025.
- Employees may review additional information about the W-4 Form on the IRS web site.
Employees may contact HR Services with questions regarding updates to personal information and Payroll with questions regarding W4 changes.
